Printers and print supplier information (FOI211042)

This Freedom of Information request asks for details in relation to our printers and hardware and suppliers of our printers and hardware.

Request

Thank you for your email of 11/10/2021, requesting information from Ordnance Survey in accordance with the Freedom of Information Act (FOIA) 2000, as set out in the extract below:

“FOI Request - Supplier Statistics across UK Central Govt and associated bodies. I am currently trying to build an updated view of 2021 Strategic/SME print supplier spend and page usage levels, as now affected by COVID-19, across the UK Govt and associated agencies/bodies. With this in mind, can you please provide the following information:-

  1. Who is your preferred supplier for MFD/Printer Hardware? (Please state in multiple suppliers)
  2. Please state the number of printers currently within the organisation, to include a breakdown of MFDs (multi functional devices), Print Room devices and desktop printers.
  3. What are your current annual page volumes (split by Colour and Mono)
  4. What is the approximate annual spend for both hardware and services ?
  5. What date is your contract due for renewal ?
  6. Which procurement route or framework was used to procure this service?
  7. Which person/role is responsible for procuring your printer contracts?”

Our response

I confirm that Ordnance Survey does hold the information you have requested, taking each request in turn, I confirm the following:

1. Who is your preferred supplier for MFD/Printer Hardware? (Please state in multiple suppliers)
MFD is via Canon
Print room wide format machines is Konica Minolta

2. Please state the number of printers currently within the organisation, to include a breakdown of MFDs (multi functional devices), Print Room devices and desktop printers.
Printers: 18
Photocopies: 21 (built into devices)
Print room / reprographics: 3

3. What are your current annual page volumes (split by Colour and Mono)
MFD – mono between Oct20 – Sep21 = 53,600
MFD – colour between Oct20 – Sep21 = 64,500
Print room - September 2020 – September 2021 pages 612,000

4. What is the approximate annual spend for both hardware and services?
c. £70k

5. What date is your contract due for renewal?
Canon expires June 2022
Konica Minolta expires 2024

6. Which procurement route or framework was used to procure this service?
Printers: CCS Framework RM1599
Printroom: CCS Framework RM3781

7. Which person/role is responsible for procuring your printer contracts?
The role is the Procurement & Contract Manager

Internal review

Your enquiry has been processed according to the Freedom of Information Act (FOIA) 2000. Please include the reference number above. You may request an internal review where you believe Ordnance Survey has:

  • Failed to respond to your request within the time limits (normally 20 working days)
  • Failed to tell you whether or not we hold the information
  • Failed to provide the information you have requested
  • Failed to explain the reasons for refusing a request
  • Failed to correctly apply an exemption or exception

The Internal Review Officer will not have been involved in the original decision. They will conduct an independent internal review and will inform you of the outcome of the review normally within 20 working days, but exceptionally within 40 working days, in line with the Information Commissioner’s guidance.

The Internal Review Officer will either: uphold the original decision, provide an additional explanation of the exemption/s applied or release further information, if it is considered appropriate to do so.

Appeal to Information Commissioner’s Office (ICO)
If, following the outcome of the internal review you remain unhappy with our response, you may raise an appeal, within three months of receiving our response, with the Information Commissioner’s Office.
